How Long Does an Extended Warranty Approval Call Take?

Ask a service advisor and they will say "forever." Here is what the data actually shows.

We measured every approval call our agents placed over a recent stretch: real calls to extended warranty companies to get repairs authorized on extended service contracts. Every number below comes from those recordings.

Why the spread is so wide

A 3 minute call and a 45 minute call are usually the same claim in two different situations.

Short calls happen when the claim is simple, the adjuster finds the contract on the first try, and the advisor has the VIN, mileage, parts and labor ready to read out. First-call approvals on a single-part repair routinely finish in the time it takes to read the claim aloud.

Long calls are mostly hold time, not talk time. The phone tree, the queue for an adjuster, a transfer to a different department because the contract type routes elsewhere, a hold while the adjuster checks their labor guide. On the longest calls in our data, the majority of the elapsed time is silence.

There is a hidden cost here for repair shops: an advisor on a 24 minute warranty call is an advisor not writing service for 24 minutes. At two or three warranty claims a day, hold time alone can eat an hour of a service advisor's shift.

What actually shortens calls

From comparing fast calls against slow ones:

  1. Have everything ready before dialing. Adjusters ask for the same items on nearly every call. We counted exactly what they ask for in What adjusters actually ask.
  2. Know the phone tree. Warranty companies route repair authorization calls differently. Pressing the right options the first time avoids a transfer, and every transfer means a new queue.
  3. Call inside their business hours, in their time zone. A call placed 20 minutes before the claims department closes tends to become a callback.
  4. Read the claim, do not narrate it. A prepared summary, complaint, cause, correction, parts, labor, is faster for the adjuster to process than a conversation.
